Job Description
Title: Grimaldi Marseille Export Customer Service Representative / (RORO, Containers and project cargoes)
Location: Marseille – Grimaldi ACL France (agencies) SAS Office.

Basic Role: The Export Customer Services section is responsible for the interface between the Line and its customers and is the first point of contact for bookings, documentation, special requests and complaints. As members of this team, each Export Customer Services Representative is responsible for building effective relationships with customers and handling each enquiry in a manner, which enhances GRIMALDI Lines’ competitive position. This role also requires the maintenance of operational systems and a close working relationship with other departments in Le Havre (Management, Sales, Grimaldi logistics Management, Finance) and overseas.

Principal Tasks :

1. Take Grimaldi bookings (RORO, Containers and project cargoes) from Shippers and Freight Forwarders for all Grimaldi Lines Services and order transport when required. This will include the update of Grimaldi Lines GATLAS/Allocation forecast and third party (AP+, TIMAD) computer systems,

2. To be conversant with requirements for the handling of dangerous cargo. This will include obtaining specific information to enable the Hazardous Cargo Department to authorise loading on vessels,

3. Handle and resolve documentation queries (Bill of Lading issuing),

4. To make sure that charges are correctly coded to shipments, assign payor and audit in coordination with commercial department. There is a requirement to have a thorough understanding of Grimaldi Lines commercial strategy and pricing to accomplish this task,

5. Process invoices, correction vouchers and issue credit notes,

6. To establish positive working relationships with customers and deal effectively with their special requests or complaints, and to encourage new bookings from existing or new customers,

7. To maintain records and submit reports upon booking and documentation activity, including quality non-conformance reporting,

8. To prepare loading list and ensure all cargo receives load authority from AP+ and stevedoring company. This will include the preparation of entries and obtaining BAE (Loading authorization from customs) from customers which will include the solving of any ensuing problems. CSR needs to be conversant with customs procedures and the use of third party computer systems,

9. To support the activities of the field sales staff. This will include working directly with a specific Sales representative on a one to one basis to assist in developing new business and servicing existing business. Individuals will be required to assist on sales calls within the co-working program Sales/Customer Service.
